The type of personal information we collect

We currently collect and process the following information that applicants have supplied on our online bursary or grant application forms, or that you might have supplied in the process of contacting us:

  1. 1. Name, contact details, date of birth of applicants
  2. 2. Name, contact details of persons submitting or supporting the application on behalf of applicants (such as parents, teachers, referees)
  3. 3. Personal financial details provided by bursary applicants

How we acquire the personal information and why we have it

Most of the personal information we process is provided to us directly by bursary and grant applicants for the purpose of assessing eligibility for such an award. Other personal information is the name and contact details of a teacher and/or other referee in connection with a bursary or grant application, or details supplied in the course of an online query.

We use the information that an applicant and any teacher and/or referee have given us in order to assess a bursary or grant application and to contact them if we have any further questions about the application. We share this information only amongst our trustees, and only for their consideration of the application.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Consent. By submitting an application with personal information in it you are providing your consent to us processing the personal data within the application or, if the applicant is younger than 16, by submitting an application the person with parental responsibility for the applicant is providing consent on the applicant’s behalf. You are able to remove your consent at any time. You can do this by writing to us at one of the above addresses

(b) We have a legitimate interest in collecting the personal information in order to assess the application and to communicate with the relevant parties about the application.

How we store your personal information

We keep the information that has been provided as detailed above for such time until the award is decided and has been completed; we will save the information for a limited time so that we can refer to it in the event of a repeat application. If an application is rejected we will save the information for a limited time so that we can refer to it in the event of a further application.

Your data protection rights

Under data protection law, you have rights including:

Your right of access: you have the right to ask us for copies of your personal information. 

Your right to rectification: you have the right to ask us to rectify personal information you think is inaccurate; you also have the right to ask us to complete information you think is incomplete. 

Your right to erasure: you have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing: you have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing: you have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability: you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
